Whistleblowing Report Procedure

Floin provides a secure and confidential way for individuals to report suspected or actual misconduct. Your report will be handled seriously and in full compliance with applicable laws and internal policies.

Reporting channels

All reporting channels are protected under Directive (EU) 2019/1937, including confidentiality, protection from retaliation, and access to remedies.

Internal reporting channel

The primary channel for submitting a whistleblowing report is Anonymous Microsoft Form:

  • The form is available at the following link: https://forms.office.com/e/fgHK8uRGvk;

  • The form is fully anonymous and does not collect email addresses or IP addresses;

  • You do not need to log in in order to submit the form;

  • If you wish to remain anonymous, simply leave the personal information fields blank;

  • The form guides you step-by-step through the process, allowing you to describe the issue and relevant details.

While the anonymous form is the preferred method, you may also report concerns through any other communication method you're comfortable with (eg: email, phone). All internal channels are treated with the same level of confidentiality and seriousness.

Steps we take after receiving your report:

  • Acknowledgment: If you include your contact details, you will receive a confirmation of receipt within 7 days;

  • Review and Investigation: Your report is reviewed by an independent Compliance Officer. Investigations are carried out confidentially, impartially, and in accordance with legal requirements;

  • Confidentiality and Protection: Your identity will be kept strictly confidential and you are protected from any retaliation for reporting in good faith;

  • Outcome and Feedback: If contact details are provided, you may receive an update within 2 months;

  • Corrective Action: If needed, Floin will take appropriate internal action to resolve the issue and prevent future occurrences.

External reporting channel

Reporting persons have the right to report directly to the Financial Market Authority (FMA) without first using the internal channel.
